AI & Data Safety Policy

Rules for careful AI use, protection of student information and keeping official-results decisions under human and institutional authority.

Caution: until the AI provider's terms, prompt-retention settings and processing location are verified, do not enter student-identifying personal data or confidential information into AI prompts.

Please read this notice carefully. It explains how Result Forum collects, uses, protects and shares information when the platform is used.

1. Our central rule

AI in Result Forum is an information assistant, not an academic authority. Official records, marks, approvals, publication and verification remain governed by the institution's processes and authorised people. An AI answer cannot change marks or approve results.

We aim to use AI carefully, transparently and within limits appropriate to education. This policy supplements the Privacy Policy and Terms of Use.

2. What AI can and cannot do

  • It may help explain information, summarise material or suggest general next steps based on your question.
  • It cannot independently certify that information is official, accurate or up to date.
  • It cannot replace a teacher, reviewer, institution administrator, parent/guardian or official education authority.
  • It must not be used alone to make final decisions about marks, pass/fail status, admissions, employment, discipline, student welfare or safety.
  • It may produce fabricated, biased, incomplete or institutionally inconsistent answers.

3. Protect student and personal information

Do not enter information that identifies a student or parent, enrolment numbers, phone numbers, email addresses, result codes, marks tied to a person, passwords, PINs, health information or institutional secrets into an AI prompt unless you are authorised, a lawful basis exists and an approved protective process is in place.

Minimise data before asking a question. Use fictional examples, remove names and identifiers, and do not paste a student's full record into a conversation. Do not use an AI account to share another person's information without permission.

If you are unsure whether information may be shared, do not put it into AI. Ask your institution administrator or platform administrator first.

4. AI providers and external processing

When an AI feature is used, the prompt and context needed to answer may be sent to the connected AI provider; the Guardian AI route has used OpenRouter when enabled. The provider may use other systems or model providers in its processing route.

Processing location, retention and any no-training terms depend on the provider and the configuration in use. We do not promise that prompts are never retained or used for training unless those terms have been verified for the relevant service. For this reason, sensitive or student-identifying data must not be entered until the use has been authorised and verified.

5. Human review and consequential decisions

An authorised user must review an AI answer before relying on it. For matters that may affect a student's rights, marks, safety or opportunities, use official records and sources and follow institutional procedures.

AI must not obscure the reason for a decision, remove an appeal right or replace required human review. If you believe an AI output is harmful or discriminatory, do not rely on it without review and report it through the feedback/support route.

6. Cybersecurity and prohibited use

Do not use AI or the platform to:

  • Attempt to access data, accounts or systems without permission or bypass security controls.
  • Create false results, certificates, messages or evidence that could be misrepresented as official.
  • Produce malware, identity theft, fraud, harassment, threats or privacy violations.
  • Process another person's personal data without authority, damage systems or interfere with data.
  • Paste passwords, API keys, tokens, authentication codes or technical secrets into a prompt.
Unlawful or unauthorised activity may result in service restrictions and action under applicable Tanzanian law.

7. Accuracy, bias and verification

An AI answer is not official evidence or the final source of law, examination rules, health, safety, admissions or results information. Check important claims against an authoritative source and its date, and correct or disregard unreliable answers.

Do not publish an AI answer as though it was issued or approved by Result Forum, your institution or a public authority unless it has been reviewed and authorised.

8. Children and educational settings

Because students may be under 18, teachers, institutions, parents/guardians and users must put student welfare and privacy first. Use the minimum data necessary, verify that the use is authorised and do not leave a child responsible for validating an AI answer alone.

Institutions should give staff clear instructions about which data may be used with AI and which activities are prohibited. This policy does not replace child-safeguarding or academic oversight procedures.

9. Report a concern or data request

If AI exposes personal information, gives harmful or materially inaccurate guidance, appears to exceed a user's role or creates a security incident, stop relying on that output and report the issue promptly. While signed in, use Profile → Feedback and choose complaint or support; for institutional records, also notify the institution administrator.

Requests to access, correct or erase personal data are described in the Privacy Policy and are handled subject to Tanzania's Personal Data Protection Act and official-record requirements.

10. Policy updates

We may update this policy as features, providers or laws change. The last-updated date appears above. New AI features should be reviewed for security, privacy and authority boundaries before being enabled for real-world use.
